This document is a public offer within the meaning of Article 437(2) of the Civil Code of the Russian Federation and governs only the purchase and use of visitor tickets. Participation by exhibitors, partners and contractors is governed by separate agreements and is outside this offer.
Definitions
Organiser (Contractor) — Limited Liability Company "Mezhdunarodny Dom Chaya" (OGRN 1157746645660, INN 7729467886).
Exhibition (Event) — the international CAFEX exhibition held by the Organiser, including accompanying business and competition programme events. Dates and venue are published on the Website; as at this version — 14–16 April 2027, Moscow, Timiryazev Centre.
Website — the information and software available on the Internet at https://cafex-expo.ru and on the Organiser's subdomains.
Visitor (Consumer) — an individual with legal capacity purchasing a ticket for personal needs unrelated to business activity.
Ticket — an electronic document evidencing the Visitor's right to single or multiple entry (depending on the category) to the Exhibition on its dates and during its opening hours. The Ticket bears a unique number and/or QR code.
Order — a request placed on the Website to purchase one or more Tickets.
Visitor Rules — the rules of conduct and access control at the venue, published at https://cafex-expo.ru/en/visitors/rules.
Acceptance — full and unconditional acceptance of this offer in the manner set out in Part A.3.
Part A. Purchase of tickets by individuals
A.1. Subject matter
A.1.1. The Organiser undertakes to provide the Visitor with services granting access to the Exhibition to the extent corresponding to the ticket category selected, and the Visitor undertakes to pay for those services in the amount and manner set out in this Part.
A.1.2. The relations of the parties are governed by the Civil Code of the Russian Federation, Law of the Russian Federation No. 2300-I of 7 February 1992 "On Protection of Consumer Rights" (the Consumer Protection Law) and this offer.
A.1.3. The scope of services included in each ticket category (days of attendance, access to the business programme, additional services) is stated on the Website on the order page.
A.2. Information about the Contractor and the services
A.2.1. Pursuant to Articles 8–10 of the Consumer Protection Law, the following information is provided to the Visitor before the contract is concluded: the Organiser's trade name, location and business hours (the "Details" section of this offer and the "Contacts" section of the Website); the name and consumer characteristics of the service; the price in roubles and payment terms; the dates, times and place of performance; the procedure for cancellation and refund; and age and other admission restrictions.
A.2.2. All such information is published on the Website in Russian and is available before the Order is placed.
A.3. Conclusion of the contract (acceptance)
A.3.1. The contract is deemed concluded upon payment of the Order by the Visitor (Article 438(3) of the Civil Code). The date and time of confirmation of successful payment are the date and time of conclusion of the contract.
A.3.2. For free ticket categories (where offered) the contract is deemed concluded upon completion of registration and receipt by the Visitor of the electronic Ticket.
A.3.3. By placing an Order the Visitor confirms that they have read and accept this offer, the Visitor Rules, the Privacy Policy and the Website Terms of Use.
A.3.4. A Visitor who does not agree with any term of the offer may refrain from acceptance and not purchase a Ticket.
A.4. Placing an order
A.4.1. The Order is placed by the Visitor independently on the Website by selecting the category and number of Tickets and completing the registration form.
A.4.2. When placing the Order the Visitor provides: surname, first name, e-mail address and mobile telephone number. Company, position and field of activity may additionally be requested; such fields are optional unless expressly stated otherwise.
A.4.3. The Visitor undertakes to provide accurate and complete information. The Organiser is not liable for non-performance of the Order caused by inaccurate or incorrect data (including an incorrect e-mail address). If an error is discovered, the Visitor may contact tickets.service@cafex-expo.ru; the Organiser will correct the ticket details where technically possible and before the Exhibition begins.
A.4.4. The number of Tickets per Order may be limited; any limit is stated on the order page.
A.4.5. Personal data objectively necessary for placing and performing the Order are processed under Article 6(1)(5) of the Federal Law "On Personal Data". Before the registration form is submitted, the Visitor is separately presented with the Personal Data Processing Consent for operations and purposes for which consent is the applicable legal basis. Advertising is sent only under a separate voluntary consent.
A.4.6. The Organiser may cancel an unpaid Order upon expiry of the reservation period stated at the time of ordering. A cancelled Order cannot be reinstated; the Visitor may place a new Order.
A.5. Price and payment
A.5.1. Prices are stated on the Website in roubles of the Russian Federation and include all mandatory charges. If the Organiser charges a service fee, its amount is stated separately before payment of the Order.
A.5.2. The Organiser may unilaterally change the prices published on the Website. Price changes do not apply to Orders already paid: the price of a paid Order is not subject to change.
A.5.3. Payment is made using one of the methods available on the payment page when the Order is placed. Payment at the venue is possible by the methods announced by the Organiser.
A.5.4. The payment procedure and any transaction authentication method are determined by the payment service, acquiring bank and card issuer. Bank card details are entered on the payment service's secure page and are not stored by the Organiser.
A.5.5. The fiscal receipt is sent to the Visitor electronically to the e-mail address and/or subscriber number provided, in accordance with Federal Law No. 54-FZ of 22 May 2003.
A.5.6. The Organiser is not liable for failures or authorisation refusals occurring on the side of the payment system, issuing bank or acquiring bank. However, where funds have been debited without a Ticket being issued, the Organiser will refund the amount or provide the Ticket upon the Visitor's request.
A.6. Performance of the order and delivery of the ticket
A.6.1. The Ticket is sent to the Visitor electronically to the e-mail address provided and/or made available on the Order page immediately after confirmation of successful payment. No additional charge is made for delivery of the electronic Ticket.
A.6.2. The Organiser's obligation to generate and deliver the electronic Ticket is performed when it is sent or made available to the Visitor. The principal access service is performed when the Ticket is used for entry or, where a valid Ticket is not used and the contract has not been cancelled, upon completion of the Exhibition.
A.6.3. If the Ticket is not received within 30 minutes of payment, the Visitor should check the Spam folder and contact tickets.service@cafex-expo.ru. The Organiser will re-send the Ticket free of charge.
A.6.4. The Ticket is personalised where so stated in the category description. A personalised Ticket may not be transferred to third parties; at entry the details on the Ticket may be checked against an identity document.
A.6.5. The unique number (QR code) of the Ticket permits entry once (for each day of attendance). The Visitor bears the risk of consequences of sharing an image of the Ticket with third parties: entry may be refused where the same code is presented again.
A.7. Visitor rules and admission
A.7.1. Attendance is subject to the Visitor Rules published on the Website and to the requirements of the venue.
A.7.2. The Organiser may impose age restrictions on admission to the Exhibition and/or to individual events. Such restrictions are published on the Website before the Order is placed. The person purchasing the Ticket is responsible for compliance with age restrictions and for accompanying minors.
A.7.3. The Organiser may refuse admission to, or remove from, the Exhibition any person who breaches the Visitor Rules, safety requirements or public order, who is intoxicated or who fails security screening. The Ticket price is not refunded in such cases, without prejudice to that person's right to challenge the Organiser's actions.
A.7.4. Photography and filming. The Visitor is notified that the Organiser and persons authorised by it carry out photography and filming on the Exhibition premises and that the Visitor may appear in the frame. The filming, use of materials and opt-out procedures are set out in the Visitor Rules and in Section 7 of the Website Terms of Use.
A.7.5. The Organiser may change the composition of the business programme, the list of participants and the schedule of individual events. Such changes do not constitute a defect in the service and do not give rise to a right to a refund, provided attendance at the Exhibition remains possible to the extent of the ticket category purchased.
A.8. Cancellation and refunds
A.8.1. Right of cancellation. Under Article 32 of the Consumer Protection Law the Visitor may cancel the contract at any time before attending the Exhibition, subject to reimbursement of the Organiser's expenses actually incurred in performing its obligations under the contract.
A.8.2. Procedure. A cancellation request is sent to tickets.service@cafex-expo.ru or by post to the Organiser's address. A template is provided in Annex 1. The request should state the Order number, payment details and bank details for the refund (where a card refund is not possible). A request sent from the e-mail address used when placing the Order is accepted without a handwritten signature.
A.8.3. Expenses actually incurred and requests after opening. Only expenses incurred by the Organiser before receipt of the cancellation request and directly connected with performance of the relevant Order may be deducted. The amount is calculated individually from a cost calculation approved by the Organiser, supporting documents and accounting records, rather than a pre-set percentage. The total deduction may not exceed the price of the relevant Ticket. After the Exhibition has opened, no standard automatic refund is made: each request is considered individually in light of services performed, expenses incurred and evidence concerning use of the Ticket.
The calculation may include documented payment and fiscal-processing costs, generation and delivery of the electronic Ticket, production of a personalised badge, operation of the Ticket system, registration services and admission arrangements, together with a reasonable share of common costs directly necessary for visitor services. Common costs are allocated using a pre-determined and verifiable method based on planned or actual attendance. Penalties, lost profit, the Organiser's planned profit and costs unrelated to performance of the relevant Order are excluded.
A.8.4. Explanation and evidence of entry. Where expenses are deducted, the Organiser provides, together with the refund notice, information on their nature and amount, supporting documents, the method used to allocate common costs and their connection with the relevant Order. On request, the Visitor receives an extract from the calculation relating to their Ticket, without disclosure of other persons' personal data or information protected by law. Use of a Ticket may be established not only by an automated turnstile record, but also by a manual-admission record, a controller or access-control application record, a security log, video footage and other admissible evidence. Absence of an automated turnstile record does not by itself establish that the Ticket was unused. The Visitor may challenge the entry evidence and deduction under applicable law.
A.8.5. Service fee. Any service fee may be deducted only to the extent that the Organiser can demonstrate that a separate service was actually performed and the related expenses were incurred. It is refunded in full if the Exhibition is cancelled, postponed or materially changed.
A.8.6. Refund period. The refund is made within 10 (ten) calendar days of receipt of the request, by the same means as payment, to the same bank card. The time of crediting is determined by the issuing bank's rules.
A.8.7. Cancellation, postponement or material change of the Event. If the Exhibition is cancelled, postponed to other dates or moved to another venue, or where the terms of service are materially changed, the Visitor may at their option: (a) retain the Ticket for the new dates, or (b) claim a full refund of the Ticket price including any service fee, without any deduction and regardless of the date of the request. The refund is made within 10 (ten) calendar days of receipt of the claim. The Organiser notifies such changes by e-mail and on the Website.
A.8.8. Ticket transfer and amendment of details. Instead of cancelling, the Visitor may once, free of charge, transfer a personalised Ticket to another person — normally another employee of the same organisation — or amend the Ticket holder's personal details. The request must be sent from the e-mail address used for the Order to tickets.service@cafex-expo.ru and received by the Organiser no later than 18:00 Moscow time on the fifth calendar day preceding the opening day. For the Exhibition opening on 14 April 2027, the deadline is 18:00 Moscow time on 9 April 2027. After that deadline, no transfer, replacement of the Ticket holder or user-requested amendment is made. The Organiser may, but is not obliged to, correct an obvious clerical error after the deadline where this does not replace the Ticket holder. The new holder must satisfy the Visitor Rules, including professional status and the 18+ age requirement. The previous Ticket is cancelled and the new Ticket is sent to the e-mail address stated in the request.
A.8.9. Defective services. Where the service rendered is defective, the Visitor may bring the claims provided for by Article 29 of the Consumer Protection Law, which are satisfied within the periods set out in Article 31 of that Law.
A.8.10. Nothing in this Section limits the consumer's statutory rights. Terms impairing consumer rights compared with the rules established by law are void (Article 16 of the Consumer Protection Law).
A.9. Rights and obligations of the parties
A.9.1. The Visitor may: receive complete and accurate information about the Exhibition and the services purchased; choose among the payment methods offered; submit enquiries and claims; and cancel the contract under clause A.8.
A.9.2. The Visitor must: read this offer and the Visitor Rules; provide accurate information when ordering; pay for the services; and comply with the Visitor Rules and venue requirements.
A.9.3. The Organiser may: require compliance with the ordering and payment procedure; refuse admission in the cases set out in clause A.7.3; cancel unpaid Orders; change prices for future Orders; and carry out maintenance work on the Website.
A.9.4. The Organiser must: provide accurate information about the services; send the Ticket and the fiscal receipt; provide access to the Exhibition in accordance with the ticket category purchased; consider enquiries and claims within the prescribed periods; and maintain the confidentiality of personal data.
Part B. General provisions
B.1. Force majeure
B.1.1. The parties are released from liability for non-performance or improper performance caused by force majeure: natural disasters, fires, epidemics, hostilities, acts of public authorities preventing the Exhibition from taking place, failures of the venue's engineering systems and other extraordinary and unavoidable circumstances.
B.1.2. The party affected notifies the other party within 10 (ten) calendar days of the onset of such circumstances.
B.1.3. Where the Exhibition cannot take place due to force majeure, the Organiser may reschedule it. The Visitor's rights in that case are governed by clause A.8.7.
B.2. Personal data
B.2.1. Personal data are processed in accordance with Federal Law No. 152-FZ of 27 July 2006 "On Personal Data" and the Privacy Policy.
B.2.2. The legal ground for processing the Visitor's data necessary to perform the Order is Article 6(1)(5) of that Law. Data are retained for the periods set out in the Privacy Policy; no indefinite retention applies.
B.2.3. Advertising messages are sent only with the addressee's separate prior consent (Article 18(1) of the Federal Law "On Advertising").
B.3. Amendments to the offer
B.3.1. The Organiser may amend this offer. A new version takes effect upon publication on the Website.
B.3.2. Contracts concluded before a new version takes effect are governed by the version in force on the date of acceptance. The current and previous versions are available on the Website; a previous version is provided on request.
B.4. Miscellaneous
B.4.1. This offer is governed by the law of the Russian Federation.
B.4.2. Legally significant communications are sent to the e-mail addresses provided by the parties when placing an Order and are deemed received on the day they are sent unless proven otherwise (Article 165.1 of the Civil Code).
B.4.3. Invalidity of an individual provision does not affect the validity of the remaining provisions.
