These Visitor Rules (the Rules) set out the conditions of admission to the CAFEX exhibition (the Exhibition) and the rules of conduct on its premises.
Everyone who has accepted the Organiser's invitation to attend the Exhibition, registered as a visitor or purchased a ticket is deemed to have read these Rules, to agree with them and to undertake to comply with them.
The Rules form an integral part of the Public Offer and are made available to the visitor before an order is placed and paid for. Personal data are processed in accordance with the Privacy Policy.
The visitor is notified that photography and filming take place on the Exhibition premises, in the manner set out in Section 12 of these Rules.
1. Professional status of the visitor
1.1. The Exhibition is an industry event for professionals. Admission is available to professional visitors only.
1.2. A professional visitor is a business owner, individual entrepreneur, officer, director, manager, specialist or other representative of a relevant Russian or foreign company, enterprise, public authority, association or union, attending the Exhibition for purposes connected with their professional, business or official activity within the Exhibition's subject matter.
1.3. Representation upon registration. By providing details of their place of work, position and field of activity at registration, the visitor represents to the Organiser that this information is accurate and that they hold professional status (Article 431.2 of the Civil Code of the Russian Federation). Professional status is a condition of purchasing a ticket and of admission to the Exhibition.
1.4. Verification. The Organiser and authorised personnel may at any stage — at registration, at entry and on the Exhibition premises — request documents or information confirming professional status: a business card, a power of attorney, an official letter from the organisation represented, a staff identity card, information on the registration of the company or individual entrepreneur, or a similar document.
1.5. Consequences of inaccuracy. If the visitor does not confirm their professional status, or if the information provided at registration is found to be inaccurate, the Organiser may:
(a) refuse admission — before entry to the premises; in that case the ticket price is refunded in full under clause 5.6;
(b) terminate access and require the visitor to leave the premises — after entry; in that case the ticket price is not refunded, since access was granted and then terminated as a result of the visitor's breach of the conditions on which the ticket was purchased.
1.6. The Organiser may apply automated verification of registration data against public state registers and confirmation of a corporate e-mail address. Failure to pass such verification may result in refusal of registration until supporting documents are provided.
2. Admission restrictions
2.1. Age restriction — 18+. The Organiser and authorised personnel may at any time request an identity document confirming age.
2.2. Entry with children, including children in prams, is not permitted. The restriction is due to the tastings held at the Exhibition, including tastings of alcoholic products, and to the nature of the event.
2.3. Entry with animals is not permitted. This restriction does not apply to guide dogs accompanying visually impaired persons, subject to a document confirming the guide dog's special training (Article 15 of Federal Law No. 181-FZ of 24 November 1995 "On Social Protection of Disabled Persons in the Russian Federation"), or to service dogs of authorised bodies.
2.4. Appearance. The Exhibition is held in a business format; business or business-casual attire is recommended. The dress recommendation is not a ground for refusing admission.
Admission may be refused where the visitor's appearance or condition:
- fails to meet the venue's safety or sanitary requirements (including absence of footwear or soiled clothing posing a risk to others);
- displays symbols or inscriptions whose distribution is prohibited by Russian law, or offensive images or inscriptions;
- indicates that the person is under the influence of alcohol, narcotics or other intoxicants.
2.5. The Organiser may refuse admission to a person previously removed from the Exhibition for breach of these Rules, as provided in clause 13.5.
2.6. It is prohibited to bring onto the premises weapons, ammunition, explosive, flammable, toxic and radioactive substances, pyrotechnics, narcotic substances or other items whose circulation is restricted by law. The Organiser and the venue security service may carry out visual inspections and request that hand luggage be shown, in accordance with the venue's procedures.
3. Ticket and entry
3.1. Entry is by electronic or printed ticket. The ticket must be presented at each entry to the premises.
3.2. The ticket is personalised. Transfer, resale or other provision of the ticket to third parties is prohibited.
3.3. The Organiser may check that the details on the ticket correspond to the visitor's identity and request an identity document, including one bearing a photograph. If such a document is not produced, or where there are grounds to believe that the ticket is being used by a person other than the one named on it, the Organiser may refuse admission without compensation.
3.4. The ticket is valid only on the days and during the hours of the Exhibition and entitles the holder to one entry on each day of the Exhibition.
3.5. To re-enter through the turnstiles on the same day, the ticket must be reactivated at the registration desk on presentation of an identity document.
3.6. Badges are not issued to visitors, except for particular categories of visitors for whom the Organiser has established such a procedure.
3.7. Entry closes 30 minutes before the end of the Exhibition's working hours.
4. Registration and ticket purchase
4.1. Online visitor registration closes 1 hour before the end of the Exhibition on the final day.
4.2. A ticket may be purchased at the self-registration terminals located in the entrance area of the exhibition centre, subject to technical availability and free access to registration.
4.3. The terms of ticket purchase, payment and conclusion of the contract are set out in the Public Offer.
5. Cancellation and refund
5.1. The visitor may cancel their attendance at any time before actually entering the premises and claim a refund of the ticket price less the Organiser's expenses actually incurred (Article 32 of the Law of the Russian Federation "On Protection of Consumer Rights").
5.2. A refund request is sent to tickets.service@cafex-expo.ru stating the visitor's full name, company name, order number and payment details. A template is provided in Annex 1 to the Public Offer.
5.3. Only expenses incurred by the Organiser before receipt of the request and directly connected with performance of the relevant Order may be deducted. The amount is calculated individually from a cost calculation approved by the Organiser, supporting documents and accounting records; no pre-set percentage applies. The total deduction may not exceed the price of the relevant Ticket. The calculation may include payment and fiscal processing, the Ticket system, Ticket generation and delivery, badge production, registration services, admission arrangements and a reasonable share of common costs directly necessary for visitor services. Penalties, lost profit, planned profit and costs unrelated to the relevant Order are excluded. After opening, no standard automatic refund is made: each request is considered individually in light of services performed, expenses incurred and evidence concerning use of the Ticket. Where expenses are deducted, the Organiser provides their nature and amount, allocation method and connection with the Order and, on request, an extract relating to the Ticket.
5.4. The refund is made within 10 (ten) calendar days of receipt of the request, by the same means as payment.
5.5. Ticket transfer and amendment of details. The visitor may once, free of charge, transfer a personalised Ticket to another person — normally another employee of the same organisation — or amend the Ticket holder's personal details. The request must be sent from the e-mail address used for the Order to tickets.service@cafex-expo.ru and received by the Organiser no later than 18:00 Moscow time on the fifth calendar day preceding the opening day. For the Exhibition opening on 14 April 2027, the deadline is 18:00 Moscow time on 9 April 2027. After that deadline, no transfer, replacement of the Ticket holder or user-requested amendment is made. The Organiser may, but is not obliged to, correct an obvious clerical error after the deadline where this does not replace the Ticket holder. The new holder must satisfy these Rules, including professional status and the 18+ age requirement. The previous Ticket is cancelled.
5.6. Where the Exhibition is cancelled, postponed or moved, and where admission is refused on the ground set out in clause 1.5(a), the ticket price is refunded in full without deduction, regardless of the date of the request.
5.7. The Ticket price is not refunded after confirmed use for entry, where access is terminated for breach of these Rules (Section 13), or in the cases set out in clause 1.5(b) and clause 3.3. Entry may be established by an automated access-control record, a manual-admission record, a controller or access-control application record, a security log, video footage and other admissible evidence. Absence of an automated turnstile record does not by itself establish that the Ticket was unused.
6. Media representatives
6.1. Access for media representatives is granted following accreditation.
6.2. A media badge is issued in the manner set out in the relevant section of the Exhibition website.
6.3. Professional filming by media representatives is subject to Section 12 of these Rules.
7. Students of relevant educational institutions
7.1. On particular days determined by the Organiser, students of relevant higher education institutions may attend the Exhibition free of charge.
7.2. Admission is granted only when accompanied by a teacher and on the basis of a list of students officially certified by the institution's administration.
7.3. The list must be agreed with the Organiser no later than two weeks before the opening date.
7.4. The institution submitting the list confirms that it has legal grounds to transfer the personal data of students and teachers to the Organiser and notifies those persons that their data will be processed by the Organiser.
7.5. The accompanying teacher ensures that students comply with these Rules, including Sections 9 and 10, and is responsible for the group.
8. Conduct on the premises
8.1. Without the Organiser's prior written consent it is prohibited on the premises to:
- carry out trading;
- distribute advertising, informational or other materials;
- hold presentations, demonstrations, campaigning or advertising events;
- carry out any other promotional activity;
- conduct surveys, interviews or collect visitors' contacts for commercial purposes.
8.2. It is prohibited on the premises to:
- act in a way that breaches public order, creates a safety hazard or interferes with the work of exhibitors, visitors, staff or venue services;
- obstruct visitor movement or the operation of exhibition areas;
- be under the influence of alcohol, narcotics or other intoxicants;
- damage stand structures, equipment or the property of the Organiser, exhibitors or the venue;
- smoke outside designated areas or use open flames;
- enter service and technical areas unaccompanied by an authorised person.
8.3. Visitors must comply with the lawful instructions of Exhibition staff, the security service and the venue administration.
9. Product tastings
9.1. The nature of the Exhibition involves tastings of products presented at exhibitors' stands and/or in dedicated tasting areas.
9.2. Participation in a tasting is permitted only in compliance with the instructions of exhibitors, Exhibition staff, the security service and other authorised persons.
9.3. The visitor must independently and reasonably match the quantity of products tasted to their state of health, wellbeing, individual characteristics and the duration of their stay at the Exhibition.
9.4. The visitor must bear in mind that excessive consumption of any product offered for tasting, including coffee, tea, cocoa, chocolate, confectionery, food products and alcoholic products, may have adverse health consequences.
9.5. The Organiser and/or the exhibitor may refuse a tasting:
- where these Rules are breached;
- where the visitor refuses to comply with staff instructions;
- where there are signs of intoxication;
- where a document confirming age is requested and not produced;
- where the visitor's behaviour is inadequate, aggressive or otherwise creates inconvenience or danger to others;
- where there is evident abuse of tasting products.
10. Product samples and handout materials
10.1. Purpose of samples. Tasting samples, testers and handout materials are provided by exhibitors for advertising and presentation purposes — to familiarise visitors with the products as part of a professional business assessment. Providing samples is a right, not an obligation, of the exhibitor. The visitor is not entitled to demand samples, a particular quantity of them, or repeat provision.
10.2. Consumption on site. Tasting products are intended for consumption directly at the exhibitor's stand or in the tasting area. Removing tasting products beyond the stand or tasting area is permitted only with the exhibitor's express permission.
10.3. Handout materials. Catalogues, brochures, souvenirs and promotional items are provided at the rate of no more than one set per visitor, unless the exhibitor decides otherwise.
10.4. Improper collection of samples. It is prohibited on the premises to:
(a) obtain product samples, testers, handout and souvenir materials in quantities clearly exceeding what is necessary to familiarise oneself with the products;
(b) use shopping trolleys, containers, boxes, high-capacity bags or other packaging intended for transporting goods to collect products, or to transfer collected products into such packaging;
(c) approach an exhibitor for samples again after the exhibitor has refused, or approach a single exhibitor repeatedly in order to obtain additional samples;
(d) obtain samples for subsequent resale, transfer to third parties or other commercial use;
(e) tour the stands solely in order to obtain products and materials, without the business communication appropriate to the professional nature of the Exhibition;
(f) create queues, obstruct other visitors' access to a stand or interfere with the work of the exhibitor's staff;
(g) take products displayed as exhibits or as part of the stand design without the exhibitor's permission.
10.5. Exhibitor's report. An exhibitor may report a visitor's breach of clause 10.4 to the Organiser or the security service. Such a report is a ground for applying the measures set out in Section 13.
10.6. The Organiser may also apply the measures set out in Section 13 on its own initiative where staff identify the circumstances described in clause 10.4.
10.7. Conduct aimed at systematically obtaining products without any intention of pursuing professional activity within the Exhibition's subject matter constitutes a material breach of these Rules and of the conditions on which the ticket was purchased.
11. Individual medical characteristics and visitor responsibility
11.1. The visitor is solely responsible for their state of health, individual characteristics, dietary restrictions, reactions to particular ingredients, components, additives and flavourings, and for the possible consequences of participating in tastings at the Exhibition.
11.2. Before taking part in a tasting, the visitor must independently check the composition of the product and its content of caffeine, alcohol, sugar, dairy components, nuts, spices and other ingredients that may cause an adverse reaction.
11.3. The visitor must independently assess whether consumption of a particular product is appropriate given their age, state of health, contraindications, pregnancy, breastfeeding and individual sensitivity to particular substances.
11.4. The Organiser, exhibitors, Exhibition staff, tasting area personnel and other authorised persons are not liable for adverse health consequences arising from:
- the visitor's individual intolerance or other contraindications;
- consumption of a product without first checking its composition;
- excessive consumption of tasting products;
- the visitor's concealment of information relevant to safe participation in a tasting;
- failure to observe the recommendations, restrictions and warnings communicated by the exhibitor, the Organiser or Exhibition staff.
11.5. Where contraindications or health restrictions exist, during pregnancy or breastfeeding, where there is heightened sensitivity to caffeine, sugar, alcohol or other components, and in case of any doubt as to the safety of consumption, the visitor must decline to take part in the relevant tasting.
11.6. Nothing in this Section limits the consumer's statutory rights or releases the Organiser and exhibitors from liability for the quality and safety of the products offered.
11.7. Special rules for tastings of alcoholic products
11.7.1. Tastings of alcoholic products are permitted only for persons aged 18 and over.
11.7.2. The Organiser, exhibitors, security staff, tasting area representatives and other authorised persons may at any time request an identity document confirming age. If such a document is not produced, or where there is doubt as to the visitor's age, a tasting of alcoholic products may be refused.
11.7.3. Visitors showing signs of marked intoxication, inadequate behaviour or abuse of tasting products may be refused both the tasting and further presence on the premises.
11.7.4. Passing alcoholic tasting products to other persons, including minors, is prohibited.
11.7.5. Alcoholic products may harm your health. Consumption of alcoholic products is contraindicated for pregnant and breastfeeding women and for persons with medical contraindications. Such persons must decline to take part in tastings of alcoholic products.
IMPORTANT. PACE YOURSELF WHEN TAKING PART IN TASTINGS. EXCESSIVE CONSUMPTION OF ALCOHOL, COFFEE, TEA, CHOCOLATE AND OTHER PRODUCTS MAY BE HARMFUL TO HEALTH. THE VISITOR IS SOLELY RESPONSIBLE FOR THE QUANTITY THEY CONSUME. CONSUMPTION OF ALCOHOLIC PRODUCTS IS CONTRAINDICATED FOR PREGNANT AND BREASTFEEDING WOMEN.
12. Photography and filming
12.1. Filming by the Organiser. Photography, video recording and audio recording of public sessions of the business and competition programmes are carried out on the premises by the Organiser and persons authorised by it (in-house and engaged photographers, videographers and film crews).
12.2. Purposes. The materials are used to cover the Exhibition in the media and on social networks, to produce photo and video reports, to publish on the website and the Exhibition's official channels, to prepare informational and advertising materials about the current and future editions, and for reporting to partners.
12.3. General-view filming. The visitor is notified of, and agrees to, the possibility of appearing in the frame. Publication and further use of a citizen's image obtained during filming at public events is permitted without their consent, except where such image is the principal subject of the use (Article 152.1(1)(2) of the Civil Code of the Russian Federation). The Exhibition and its business programme events constitute public events within the meaning of that provision.
12.4. Portrait filming, interviews and advertising use. Where the image of a particular visitor is the principal subject of the use — in particular in portrait photography, filmed interviews, or use in advertising materials of the Organiser, partners or exhibitors — such use is based solely on that person's separate consent, given before filming begins.
12.5. Opting out. A visitor who does not wish to appear in the frame may:
- inform a representative of the Organiser or the film crew at the venue;
- obtain at the registration desk a visual marker indicating that they opt out of filming;
- write to info@cafex-expo.ru specifying details sufficient to identify the material (date, time, zone, description of the shot or a link to the published material).
The Organiser will consider the request and, where justified, discontinue use of the material and remove it from its own resources within 10 (ten) working days. The Organiser cannot guarantee removal of materials already provided to the media or distributed by third parties.
12.6. Filming by visitors. Amateur photography and filming for personal, non-commercial purposes is permitted, except in the cases set out in clauses 12.7 and 12.8.
12.7. Restrictions on filming the exposition. Filming of stands, exhibits, equipment, production processes and exhibitors' presentation and advertising materials is permitted with the consent of the relevant exhibitor. An exhibitor may prohibit filming of its stand or particular exhibits by displaying a sign or notifying the visitor; such requirement is binding. Filming aimed at copying structural, technological or design solutions is prohibited.
12.8. Professional and commercial filming. Professional photography and filming, filming with a tripod, lighting equipment, stabilisers or unmanned aerial vehicles, and any filming for commercial purposes, is permitted only with the Organiser's prior written approval and after accreditation.
12.9. CCTV. The venue owner and/or the engaged security company operate CCTV on the exhibition centre premises for safety, protection of property and public order. Processing of those images is carried out by those parties under their own rules.
12.10. Processing of personal data. An image obtained during filming is processed by the Organiser as personal data for the purposes set out in clause 12.2 on the basis of Article 6(1)(7) of Federal Law No. 152-FZ of 27 July 2006 "On Personal Data", and in the cases set out in clause 12.4 — on the basis of consent. The personal data operator is International Tea House LLC. The processing procedure, retention periods and the rights of the data subject are set out in the Privacy Policy.
12.11. The Organiser does not use photo and video materials to establish the identity of visitors, does not apply facial recognition technologies and does not process images as biometric personal data within the meaning of Article 11 of the Federal Law "On Personal Data".
13. Breach of the Rules: measures and procedure
13.1. In the event of a breach of these Rules the Organiser may, without paying any compensation:
(a) refuse the person entry to the premises;
(b) cancel the right of entry under the ticket;
(c) require the visitor to leave the premises;
(d) refuse participation in tastings and in individual business programme events.
13.2. Procedure. As a rule, the measures are preceded by a verbal warning from an authorised representative of the Organiser or a security officer, specifying the breach. Where the requirement is not complied with, where the breach is repeated, or where it is a gross breach creating a safety hazard, interfering with exhibitors' work or breaching public order, the measures are applied without prior warning.
13.3. Recording the breach. The breach and the measures applied are recorded in a statement drawn up by an authorised representative of the Organiser together with a security officer. The statement records the date, time, zone, substance of the breach, details of the offender (where identifiable — name and ticket number) and the measures taken. If the visitor refuses to sign, a corresponding note is made. Where available, the exhibitor's report and the venue's CCTV materials are attached.
13.4. Ticket price. Where access is terminated for breach of these Rules, the ticket price is not refunded: access was granted and then terminated as a result of the visitor's own conduct.
13.5. Restriction on future events. In the event of a gross or repeated breach, the Organiser may refuse the person registration and ticket purchase for the Organiser's events for 3 (three) years. Information about the breach (full name, contact details, date and substance of the breach, statement reference) is processed by the Organiser for the purposes of safety and order at its events on the basis of Article 6(1)(7) of the Federal Law "On Personal Data" and is retained for no more than 3 (three) years. The person may contact the Organiser for an explanation and challenge the restriction in the manner set out in Section 10 of the Privacy Policy.
13.6. Compensation for damage. The visitor compensates documented damage caused by them to the property of the Organiser, exhibitors, other visitors and the venue, in accordance with Russian law.
13.7. Where necessary, the Organiser may involve security staff, the venue administration and other authorised services to stop the breach.
14. Safety and visitors' property
14.1. Visitors must comply with fire safety and occupational safety requirements and the rules of conduct established by the venue administration.
14.2. The Organiser is not responsible for the safekeeping of visitors' personal belongings. Found items are handed in at the registration desk or to the venue administration.
14.3. In an emergency, visitors must follow staff instructions and the designated evacuation routes.
15. Personal data
15.1. Visitors' personal data are processed by International Tea House LLC in accordance with Federal Law No. 152-FZ of 27 July 2006 "On Personal Data" and the Privacy Policy.
15.2. Contact details may be transferred to an exhibitor only after a separate express action by the visitor in the digital business-card interface or by presenting a separate code intended for contact exchange. Before confirmation, the recipient and the data to be transferred must be displayed to the visitor. A Ticket code used for access control is not consent to data transfer and must not disclose personal data to an exhibitor. The exhibitor becomes an independent operator in respect of subsequent processing.
16. Venue and opening hours
Dates: 14–16 April 2027.
Venue: Timiryazev Centre, Moscow, Verkhnyaya alleya 6, bldg 1, halls "Vavilov" and "Chayanov".
Opening hours: daily 10:00–18:00; on the final day until 16:00.
Entry to the halls closes 30 minutes before the end of the working hours.
17. Final provisions
17.1. The Organiser may amend these Rules. The current version is published on the Exhibition website with its version date. Visitors who purchased a ticket before a new version took effect are subject to the version in force on the date of purchase, except for changes required by safety considerations or by orders of the competent authorities.
